CHAPTER I

INTRODUCTION

1.1 Background to the topic The job training activity is a field of study that has to be done by students.

  The aim of job training activity is to develop the capabilities and to add the knowledge especially in the work field. During job training process in PT. Pos Indonesia, the writer finds a lot of experience and knowledge in editing the Letter Post Manual.

  Editing uses to make the language to be more communicative in order to make the reader reads the text easily. The Letter Post Manual is originally from France and it needs editing to be more communicative in English language because every language has its own system. Abdul Chaer (2007: pg.33) states that

  

“bahasa itu sebuah system, system berarti susunan teratur berpola yang

membentuk suatu keseluruhan yang bermakna dan berfungsi. System ini dibentuk

oleh sejumlah unsur atau komponen yang satu dengan yang lainnya berhubungan

secara fungsional

  .

  In editing process, the writer finds the grammatical mistake and inappropriate choice of words in Letter Post Manual. The aim of editing the text is to create the text to be more communicative and the information can be received clearly by the reader.

  The process to make the text to be more communicative makes the writer raises it to be a job training report. Thus, to make this observation focus, this paper will report The Editing Letter Post Manual to be Communicative Language in PT. Post Indonesia.

  1.2 Scope

  This report focuses on editing the Letter Post Manual to be a communicative language. The editing process focus on the grammatical mistake and the choice words uses in the Letter Post Manual.

  1.3 Objective

  The objective of this report: 1. To describe the grammatical mistake in the letter postal manual.

2. To describe an in appropriate choice of word in the sentence.

1.4 Significance to Knowledge

  The significance of writing this paper hopes to expand studen t’s knowledge in writing a report, especially on editing process.This paper also hopes to be a reference for student in English Department who wants to raise the topic about the editing process.

1.5 The Framework of The Theory

  In the framework of the theory, the writer edits the Letter Post Manual. An editor shall pay more attention to the grammatical mistake and the appropriate choice of words to make sure that there is no wrong information in the Letter Post Manual. According to Meaning-Based Translation by Mildred L. Larson:

  “ Texts

are chosen to be translated for various reasons. Most often it is to communicate

certain information to people speaking another language, or it may be to share

the enjoyment of the source text.”(1984: pg.46)

  Based on the quotation above, the reason of translating the text is to communicate the information to people in another countries. It makes editing to be an important part in translation because it makes the information can be deliveredclearly. The writer has to edit the text to keep closely with the original English language as stated by Kris Van De Poel in the text editing. According to Text Editing From A Talent To A Scientific Discipline:

  “The editor is presented with the same problem as the translator: the decision has to be made whether the text has to remain as closely as possible to the original or the text has to be brought more closely to the target audience. In the first case as little as possible is changed to the original, in the second the style can be adapted if required and redeemed necessary by the text editor”.(2003: pg.18)

  The quotation above explains that the editor has to make the decide the right structure and appropriate word to make the text more closely to the audience.

  1.6 Research Method

  In this report, the writer uses descriptive method. According toE.Talmadge, John.B.Haman, James. Bornhauser, Fred, 1962, The Rhetoric-

  Reader, United State of America: Scott, Foresman and Company;

“Descriptive writing attempts to state in words the sensory

experience of particular things in the phenomenal world-what the

writer has actually seen, tasted, heard, smelled, or touched, or

what he has vividly imagined.

  (pg.14)

  According to above explanation, the method is used to describe the data comprehensively.

  1.7 Place and Time

  The writer conducts the job training in PT. Post Indonesia located at Jl.Banda 30 Citarum Bandung Street. The time of the job training was about one month, started from 16 July to 15 August 2012. It started at 10.00 am.

CHAPTER II DEPARTMENT POS INDONESIA UNIVERSAL POSTAL UNION (UPU)

2.1 DEPARTMENT POS INDONESIA

  PT. Pos Indonesia is stated-owned company operating in postal services or services used to deliver goods such as, mails, parcel, logistic, and trustworthy financial services.Indonesia post office is the oldest institution that still exsist nowadays. Since the establishment the first post office in Batavia on the 26th of August 1746, the post office has been growing important because alot of people used the post office services. In colonization time, the post office is divided based on the structure of military rule occupied in each island of Indonesia.In Relation to the changes happened in Indonesia, the post office made an action in order to remain competitive by changing the status of Perum Post and Giroto become PT Pos Indonesia.

  In PT. Post Indonesia, there are some Divisions such as: Marketing, Finances, Logistics, Human Resources, International Relation, etc. The role of International Relation Division is managing about in and out the letter from the other countries and also to maintain a good relationship between countries and post worldwide.

  2.2 Position and Coordination The writer was assigned in International Relation Division as an editor.

  The International Relation Division is about managing the in and out the mails to other countries, make a relation with the other postal countries.

  In International Relation Division, the writer coordinated with the Assistant Manager of International Relation Division. The writer has to edit text such as Letter Post Manual and UPU’s article. After all had finished, the writer gives the result to the assistance manager of International Relation Division.

  2.3 Responsibilities

  During the job training, the writer has a responsibility to edit the text such as, Letter Post Manual and UPU’s article. When edited, the writer finds the grammatical mistake and the inappropriate choice of words. After all has finished, the writer gives the result to the assistant manager of International Relation Division.

  The Letter Post Manual gives the reader immediate access to all the information about common rules applicable to the international postal service and the provisions concerning the letter post and parcel post services which binds all member around the world. Thus, it is necesary to make sure that the letter post gives a clear information to the reader. This is the reason that makes the writer interested to take it as the topic of job training research.

CHAPTER III THE DESCRIPTION OF THE TOPIC

3.1 Editing the Letter Post Manual to be communicative

3.1.1 Explanation

  During the job training, the writer gives a task to edit Letter Post Manual to make it more communicative. When the writer reads the Letter Post Manual, the writer finds the grammatical mistake and inappropriate choice of words. Then the writer tries to fix the grammatical mistake and found the appropriate choice of word.

  Data 1 Special bags containing newspapers, periodicals, books and similar printed documentation for the same addressee at the same address called “M bags”, up to 30 kilogrammes.

  In data 1 above, the word “kilogrammes” is inappropriate choice of words becaus e the word “kilogrammes” is unnatural in English language and it is affected by France . The word “kilogrammes” use the suffix –es.

  The sentence mentions that the “M bags” contains more than one kilogram, thus the word “kilogram” must be written in plural form. The appropriate plural form for “kilogram” is “kilograms.” From the explanation above, here the suggestion correction data 1:

  The data 2 above, explains that small packet weighing less more than one small packet gram . The word “grammes” is inappropriate choice of word in natural English lang uage. The word “grammes” use suffix –es.

  In the sentence above, the word “grammes” must be “gram” in natural English language. But, the word “gram” must be written in plural form from the paragraph explanation above. Thus, the appropriate choice of word of plural form for the word “gram” is “grams”. From the explanation above, here is the suggestion for data 2:

  

No delivery charge may be collected from the addressee in respect of small

packets weighing less than 500 grams. Where domestic small packet items

weighing over 500 grams are subject to a delivery charge, the same charge may

be collected in respect of incoming international small packets.

  Data 3 Where warranted by the number of light-weight bags, envelopes or packets to be conveyed on the same sector, sacs collecteurs shall be made up, wherever possible. They shall be made up by the post offices responsible for handing over airmails to the airline undertaking the conveyance.

  In the data 2 above, the word “collecteurs” is affected by French Language “collecteurs.” The sentence in Letter Post manual must give the clear information to the reader. Thus to make the all of information can be delivered to the people clearly, and then the word “collecteurs” must be edited to be a natural English language. Therefore, the word “collecteurs” must be changed in natural English language by used the word “collectors”.

  From the explanation above, here is the suggestion for a correction of data 3:

  

Where warranted by the number of light-weight bags, envelopes or packets to be

They shall be made up by the post offices responsible for handing over airmails to

  Data 4 Administrations that send more than 100 tonnes of letter-post mail per year on a specific flow, or that settle terminal dues based upon individual mail flow estimates, shall use the UPU-standard S9 receptacle identifier on all postal

  receptacles (including air, S.A.L., and surface receptacles) and should, as far as possible, transmit: The data above, the word “tonnes” is inappropriate choice of word because the word “tonnes” is affected by French Language. The word “tonnes” use suffix

  • –es. The appropriate choice of word for the word “tonnes” must be “ton” in natural English language. But, the sentence above, mentions that more than one of letter-post mail was sent per year.

  Thus the word “ton” must be written in plural form. The appropriate choice of word o f plural form for the word “ton” is “tons”.

  From the explanation above, here suggest correction bellow:

  The data 5, the word “routeing” is inappropriate choice of word because the word “ routeing” is unnatural English language. The word “routeing” is affected by French language. Thus, the word “routeing” in natural English language do not used “e”. Thus, the word “routeing” must be “routing”. From the explanation, here the suggest correction Data 5 bellow: Procedures concerning the transmission, routing and receipt of mails/items.

  The data above shows that there are some grammatical mistake and inappropiate choie of word in the Leter Post Manual. It is mainly caused by the influence of French language. The usage of inappropriate word can cause misunderstanding to the content of the letter manual. Thus, it must be edited to make it more communicative.

3.1.2 Problem and Solution

  During the job training, the writer finds the problem when the writer edited Letter Post Manual. Here are some problems in editing Letter Post Manual; first, a writer has a little knowledge on French language which affects the natural English language in Letter Post Manual.

  Based to problem above, here are some the solution to the problem: 1. Explore information on French Language that usually affected English.

2. Do a close reading to the text, so the writer can identify the mistake 3.

  Editing the words that are influenced by French language into English language in Letter Post Manual.

CHAPTER IV CONCLUSION AND SUGESTION In this chapter explains about the conclusion of this report and the suggestion for the company, the faculty, and the students who do the job training.

  4.1. Conclusion

  In the job training process the writer was assigned as an editor of Letter Post Manual. The writer found the grammatical mistake and inappropriate choice of words in the Letter Post Manual. The writer

  ’s job was to make sure that there are no grammatical mistake and inappropiate choie of words. So that the text more communicative and more informative.

  The mistake is mainly caused by the influence of French language. The Post Manual is originally from French, thus there are some French structure and words that influence the Post Manual.

  4.2. Suggestion

  4.2.1. To the company The writer suggests to the division of international relation make sure that the Letter Post Manual give the information more communicative language to the reader. So the reader can immediate to access off all the information.

  4.2.2. to the faculty The writer suggests that the faculty should give references about place where the student can the Job Training.

  4.2.3. to the student The writer suggests to the student who do the job training to search more information about the company that accept job trainer and more responsible for the job given.
