  Creating a Presentation In this section, you’ll learn how to:

  • Create a presentation
  • Add new slides
  • Insert pictures
  • Format text

  Create a presentation Start Impress.

1. You should see a screen that looks like this:

  Tip: If the Presentation Wizard window appears, make sure that Don’t show this wizard again is checked.

  Then click the button.

  Create a slide 1.

  In the Tasks pane, under Layouts, click the icon.

  On the blank slide, click the words Click to add title.

2. A cursor in a text box should appear:

  Type: 3.

  Party Planning Click the words Click to add text.

  4.

  Type: 5.

  And we’ll have fun, fun, fun Click in blank space outside the box to deselect it.

  The slide should look like this: Save the presentation On the Toolbar, click the icon.

  Tip: Some icons may not show up on the Toolbar. To see all of the icons available, click the drop-down arrow at the far right of the toolbar, then Visible Buttons.

  When the Save as window appears, click the icon.

2. When the Create new folder window appears, type: 3.

  Practice Impress Files Then press the ENTER key on your keyboard. The Practice Impress Files folder should appear in the list.

  Double-click the Practice Impress Files folder.

4. The Practice Impress Files folder should appear as the Save in folder.

5. In the File name box, type:

  Party

  Then click the button.

  The file name of the presentation, Party.ppt, should now appear in the Title Bar at the top of the Impress window:

  Add new slides On the Toolbar, click the icon.

  1. In the Tasks pane, make sure the Layouts submenu is open.

  2. Tip: If the Layouts submenu isn’t visible, click its drop-down arrow to open it.

3. Rest the cursor on the icon.

  A box should appear that says Title, Text, Clipart.

  Click the icon.

  4.

  When the new slide appears, click the words Click to add title, 5. then type:

  Party Themes

  Click the words Click to add an outline, then type: 6.

  Western Press the ENTER key on your keyboard.

  7. The slide should look like this:

  Type the text for the second bullet: 8.

  Luau Press ENTER.

  9. Type the third bullet: 10.

  Casino

  Press ENTER, then type the fourth bullet: 11.

  Mystery

  The slide should look like this: Click the icon to save the presentation.

13. Minimize the Impress window.

  Insert pictures Save pictures from the Web 1.

  Open a Web browser and go to:

  www.visibooks.com/books/imp2 2.

  Right-click party.gif.

3. When the menu appears, click Save Image As.

  When the Save Image window opens, navigate to the My 4.

  Photos folder within the My Documents folder.

  Click the button.

5. Using the Web browser, copy the picture 6.

  balloon.gif at www.visibooks.com/books/imp2 into the My Photos folder on your computer.

  Copy the remaining pictures at: 7.

  www.visibooks.com/books/imp2 into the My Photos folder on your computer.

  After all the pictures have been copied, close the Web browser.

  8. Add clipart to a slide Restore the Impress window.

1. Double-click the icon.

  When the Insert Picture window appears, navigate to party.gif, 3. then click it.

4. Click the button.

  On the Toolbar, click the icon to save the presentation.

5. The slide should look like this:

  Format text 1.

  Click in the bulleted list.

  2. Double-click the word Western to highlight it.

  3. Click the icon.

  4. Click the drop-down arrow beside the Font Size box.

  5. When the menu appears, click 40.

  6. Click the drop-down arrow next to the Font box.

  When the menu appears, scroll up to find Lucida Sans, then 7. click it.

  In the same way, apply bold, 40pt Lucida Sans to the words 8.

  Luau , Casino, and Mystery.

  When you’re done, the slide should look like this:

  Format pictures Rotate Click the Party Hat picture.

2. In the Drawing toolbar, click the icon.

  Place the cursor on the red sizing handle at the corner of the 3. image.

  The cursor should turn into a rotating circle: Click and drag counterclockwise to rotate the picture 4. a quarter-turn.

  It should look like this: Rotate the picture back to its proper orientation: 5. Crop In the Picture toolbar, click the icon.

  When the Crop window appears, click the arrow in the Top 2. box until it reads 1.00”.

  It should look like this:

  3. Click the arrow in the Top box until it reads 0.00”.

  4. Click the button.

  Click the icon to save the presentation.

5. The slide should look like this:

  Resize In the Drawing toolbar, click the icon to de-select it.

  Click the Party Hat picture.

2. Move the cursor over a corner sizing handle.

  It should change to a double-headed arrow: Drag outward until the picture expands to about two inches 3. square: Move 1.

  Move the cursor to the center of the picture. It should turn into a four-headed arrow: 2.

  Drag the picture so it’s aligned with the top of the bulleted words.

  The slide should look like this: Click the icon.

  Preview a presentation 1.

  Click the first slide in the Slides pane.

2. Click the icon.

  The first slide should appear full-screen: Click your mouse button.

3. The slide show should advance to the next slide:

  Click your mouse button again.

4. You should get a black slide:

  Click your mouse button again.

5. Impress should return to Normal View:

  Tip: You may also press the ESC key on your keyboard to return to Normal View.

  Click the icon to close Impress.

  Practice: Creating a Presentation 1.

  Open Impress.

  2. Give the first slide the title Pets.

  3. Subtitle it Household companions.

  4. Save the presentation in the Practice Files folder as Pets.ppt.

  5. Add a new slide using the Title, Text layout.

  6. Title this second slide Inside your homes.

  7. Add text to make the slide look like this:

  Insert the picture named fishbowl.gif.

  8. Resize the picture to fit in the slide.

  9. Click and drag the picture to center it in the white space.

  10. Color the word Dog red.

  11. Make the word Cat green, the word Fish orange, and the word 12.

  Hamster brown.

  Save the presentation.

  13. It should look like this: Close the presentation.

  14. Close Impress.

  Customizing Presentations In this section, you’ll learn how to:

  • Insert tables and charts
  • Employ design templates
  • Employ a master slide
  • Rearrange slides

  Insert tables and charts Insert a table 1.

  Start Impress.

  2. On the Menu Bar, click File, then Open.

  3. In the Open window, navigate to the Practice Impress Files folder, then double-click Party.

  4. Click the second slide in the Slides pane.

  5. On the Toolbar, click the icon.

  In the Layouts pane, click the layout.

6. In the Title box, type: 7.

  Supplies

8. In the Text box, double-click the icon.

  When the Spreadsheet window appears, place the cursor on the 9. black sizing handle at the lower right corner of the spreadsheet The cursor should turn into a double arrow:

  Click and the drag to resize the spreadsheet to 3 columns wide 10. by 2 rows tall: Click in cell A1, then type: 11.

  Western

  Press the ENTER key on your keyboard, then type: 12.

  Luau

13. Fill in the other cells so the table looks like this:

  Western Straw hats Hay bales Luau Floral leis Tiki torches 14.

  Double-click the slide to return to normal view.

  On the toolbar, click the icon.

15. The slide should look like this:

  Insert a chart Click the icon.

1. In the Layout pane, click the icon.

3. In the Title box, type:

  Favorite Party Survey Double-click the Chart placeholder.

  4.

  Right-click on the chart.

5. When the menu appears, click Chart Data.

  Click the (Delete Row) icon until the datasheet contains only 6. 3 rows:

  Click the (Insert Column) icon until the datasheet has 5 7. columns.

  8. Enter this information into the datasheet: 9.

  Click the icon.

  10. Close the Chart Data window.

11. On the Menu Bar, click Format, then Chart Type.

  When the Chart Type window appears, make sure Columns in 12. the Chart type list is clicked.

13. In the Variants list, click Percent:

  Click the button.

  14. The slide should look like this: On the Toolbar, click the icon.

  15. Double-click the slide to return to normal view.

  In the slide, click in the bulleted text box.

  17. On the Toolbar, click the icon to de-select it.

  18. This should turn off the bullets:

  Type: 19.

  Which types of parties do men and women prefer? Click outside the text box to deselect it.

  Click the icon.

20. The slide should look like this:

  Employ design templates On the Toolbar, click the icon.

1. When the Slide Design window appears, click the 2.

  button.

  In the Load Slide Design window, click Presentation 3.

  Backgrounds , then Dark Blue with Orange.

  Click the button.

  In the Slide Design window, click the button.

5. The color scheme should change.

  In the Slides pane, click each slide and apply the same slide 6. design.

  Tip: Dark backgrounds are best for electronic slide shows. Color schemes with light backgrounds are best for printed presentations or transparencies.

  On the Toolbar, click the icon.

  7.

  Employ a master slide 1.

  In the Slides pane, click the first slide.

2. On the Menu Bar, click View, Master, then Slide Master.

3. Click the slide in the Slides pane.

4. Highlight the words Click to edit the title text format.

  Tip: You may need to move the floating Master View toolbar out of the way.

  Click the icon.

5. Click in blank space on the slide to deselect the text box.

  6. Insert a graphic in the master slide 1.

  With the master slide still open, click Insert, Picture, then From File .

2. Double-click the balloon image.

  This will insert it in the slide:

3. Resize the image to approximately ½” square.

4. Drag the image to the lower right-hand corner of the slide.

  In the Master View toolbar, click Close Master View.

5. The screen should return to Normal View: Click the icon.

  6.

  Click the icon and preview the presentation.

7. Each slide should have its title in a regular font.

  Press ESC to return to Normal View.

  8.

  Rearrange slides 1.

  Click the tab.

2. Click the third slide.

  Drag the slide to the left until the vertical line lies between the first and second slides.

  Release the mouse button.

3. The slides should be in this order: Click the first slide.

  4.

  Click the icon to preview the presentation.

5. The slide you moved should now come second, after the Title

  Slide: Click the icon.

Customizing Presentations

Open the Pets presentation in the Practice Files folder.

  1. Insert a new slide with the Title, Text and 2 Objects layout.

  2. Create a spreadsheet in the large box with 2 columns and 5 3.

  rows. Enter this information in the table: 4.

  Pet Size

  Dog Large Cat Medium Fish Small Hamster Small Color the top row black.

  5. Tip: Use the icon.

  Color the text in the top row white.

  6. Tip: Use the icon.

  Insert a picture of a cat in the top right content box.

  7. Center all the text in the table.

  8.

  Title this slide Pet Size.

  9. Change the presentation’s template to Subtle Accents.

  10. Preview the presentation.

  11. The new slide should look like this: Save and close the presentation.

  Working with Animation In this section, you’ll learn how to:

  • Animate text
  • Animate graphics
  • Create slide transitions
  • Advance slides automatically

  Animate text

  Open the Party presentation, and make sure the Normal View 1. tab is selected.

  Open the third slide in the Slides pane, titled Party Themes.

  2.

  Highlight the bulleted text.

3. On the Menu Bar, click Slide Show, then Custom Animation:

  When the Custom Animation pane appears, click the 4. button. When the Custom Animation window appears, on the 5.

  Entrance sheet, click Fly In.

  6. In the Speed drop-down menu, click Medium.

  7. Click the icon.

  8. Click the icon.

  9. Click the icon.

  Press the ENTER key on your keyboard.

10. The bulleted text should fly in.

  Tip: Be careful not to overdo animation in a presentation: it exhausts your audience.

  You can adjust the settings to animate text in different ways: experiment with the options in the Custom Animation pane.

  Press ESC to return to Normal View.

  11.

  Animate graphics 1.

  In the Slides pane, click the second slide, titled Supplies. In the Drawing toolbar, click the icon.

2. The Insert Picture window should appear.

  When the pictures appear, click this picture of a dog: 3. The slide should look like this: In the Picture toolbar, click the icon.

  4.

  The Filter palette should appear: 5.

  Click the icon.

6. The picture should change:

7. Drag the dog to the lower left corner of the slide: 8.

  In the Custom Animation pane, click the button.

  When the Custom Animation window appears, click the Motion 9.

  Paths sheet, then Right.

  Click the Speed drop-down arrow, then click Very Slow.

  Click the icon to preview the slide, then click your mouse 12. button.

  The dog should slowly move to the right: Press ESC to return to Normal View.

13. Click the icon to save the presentation.

  Create slide transitions 1.

  Click the tab.

  2. On the Menu Bar, click Edit, then Select All.

  3. On the Menu Bar, click Slide Show, then Slide Transition.

  In the Slide Transition pane, click Cover Left-Up.

  4. Click the icon, then click your mouse button to view through 5.

  the presentation. The slides should move up and to the left as they enter the screen.

  Press ESC to return to Slide Sorter view.

  6. Save the presentation.

  Advance slides automatically On the Menu Bar, click Edit, then Select All.

1. In the Slide Transition pane, under Advance Slide, click the 2.

  Click the up arrow five times until the box shows 5sec.

  3. Preview the presentation in Slide Show view.

  4. The slides should progress every five seconds.

  Save the presentation.

  5.

  Practice: Working with Animation Open the Pets presentation.

  1. Select the Pet Size slide.

  2. Right-click the cat picture and animate it with a Wheel effect.

  3. Tip: Click Custom Animation, then the Entrance sheet.

  Give the presentation a Fade Smoothly transition between 4. slides.

  Make all slides advance automatically after 4 seconds.

  5. Save, preview, then close the presentation.

  6.

  Preparing Live Presentations In this section, you’ll learn how to:

  • Add speaker notes
  • Create handouts

  Add speaker notes 1.

  Open the Party Themes slide in Normal View.

2. Click the tab.

  Click the words Click to add notes, then type: 3.

  You can’t go wrong with most parties, but a great theme can help!

4. In the Slides pane, click the Favorite Party Survey slide.

  Click the words Click to add notes, then type: 5.

  Think about your guests when selecting a party theme.

  Click the tab.

  6.

7. Save the presentation.

  Create handouts 1.

  On the Menu Bar, click File, then Print.

2. When the Print window appears, click the button.

  When the Printer Options window appears, check Handouts 3. and Outline.

  Tip: Choosing outline automatically creates handouts with lines for taking notes.

4. Under Quality, click Black and White.

  The handouts would look like this if printed: Click the button.

6. In the Menu Bar, click View, then Header and Footer.

7. When the Header and Footer window appears, click the tab if it isn’t selected.

  Type: 8.

  Click the button.

9. To print the handouts, click the icon.

  Practice: Preparing Live Presentations Open the Pets presentation.

  1. On the first slide, add the following speaker’s note: 2.

  A pet can be a great companion, as many here probably know.

  Add the following note to the Pet Size slide: 3.

  Note—Take your time with this chart.

  Print out the speaker’s notes pages in grayscale.

  4. Close Impress.

  Glossary Chart

  A visual representation of data which may be in several formats, including line, bar, pie, etc.

  Clip Art

  Colorful, cartoon-like pictures, available for insertion into your presentations. There are no copyright issues using the clip art included with the software.

  Drawing Toolbar A bar with buttons and options for carrying out drawing-related commands. Master slide

  The template for the slide presentation. Contains font styles, graphics, dates, or other footer information which will appear on every slide in the same place.

  Normal View The main editing view for writing and designing your presentation. Presentation Series of Impress slides. Slide Single “page” of a presentation. Slide Layout Pane

  An arrangement of pre-formatted slide layouts that allows you to select the layout of a slide.

  Slide Sorter View

  A thumbnail view of all the slides in a presentation. May be used to rearrange slide order or add transitions and animations.

  Table Grid used to contain information in rows and columns. Template

  Pre-set layout. In Impress there are slide templates, and presentation templates. The presentation templates contain suggested content.
