RANCANG BANGUN SISTEM INFORMASI ADMINISTRASI
PERHOTELAN PADA NEW CAHAYA HOTEL SIDOARJO

Abstract
New Cahaya Hotel is a company engaged in the field of tourism as an hotel in Sidoarjo. New Cahaya
Hotel still using manual methods for daily administration, such as reservation, check in, check out, in
house services, and making reports. This recording methods for a company that engaged in services
can be not efficient, for example taking too much time to handling check in registration. It can be risky
too for saving valueable informations. To overcome the problems above, researcher is designing and
implementing an hotel administration information system. The result from this hotel administration
system is hotel administration reporting. So, this system can overcome the company’s administration
problem and give efficient and effective information.

merupakan
perusahaan yang bergerak dibidang perhotelan.
Perusahaan yang berbasis pada bidang jasa /
pelayanan ini memiliki jumlah kamar sebanyak 35
kamar. Kecepatan pelayanan merupakan salah satu
target utama untuk memberikan kepuasan kepada
pelanggan hotel. Khususnya pada pelayanan
administrasi pada New Cahaya Hotel.
Pada saat ini, proses administrasi pada
New Cahaya Hotel yaitu tamu melakukan
reservasi baik melalui telepon ataupun melalui
direct reservation. Selanjutnya tamu melakukan
check in sesuai dengan tanggal dan waktu yang
telah ditentukan pada saat reservasi. Tamu yang
telah menginap dapat menggunakan fasilitas yang
telah disediakan. Fasilitas yang diberikan kepada
tamu hotel terdapat 2 macam, yaitu free services
dan paid services. Free services meliputi airport
pick up services, welcome drink, dan breakfast
order. Paid services meliputi restaurant,
drugstore, airport shuttle, dan laundry.
Data paid services yang belum terbayar
akan ditagihkan pada saat check out. Runtututan
prosesnya, data tagihan tamu pada paid services,
akan direkap oleh petugas services, kemudian
diberikan kepada petugas front office untuk
dilakukannya night audit. Dari hasil night audit
tersebut akan didapatkan keseluruhan estimasi
total biaya inap yang akan ditagihkan saat check
out.
Pada saat check out petugas front office
mengecek ulang tagihan, sambil menunggu
petugas house keeping untuk mengecek kamar,
apabila ada tambahan tagihan. Setelah selesai

dilakukannya bill settlement, kemudian proses
check out pun selesai.
Proses akhir adalah proses rooms status
maintenance. Proses ini adalah proses perubahan
status kamar mulai dari check out, vacant dirty,
hingga vacant clean. Proses ini adalah proses make
up rooms kamar yang telah dipakai tamu
sebelumnya.
Masalah yang terjadi saat ini yaitu, New
Cahaya Hotel selama dalam menjalankan
administrasi sehari-harinya masih menggunakan
cara manual, misal pencatatan reservasi dan check
in yang lama, sering terjadinya penumpukan
tagihan yang belum terbayar yang berakibat tidak
terbayarnya tagihan tersebut, dan bill settlement
yang memakan waktu lama dalam proses
administrasi dan pengkalkulasiannya.
Berdasarkan permasalahan di atas maka
diperlukan suatu sistem informasi administrasi
penjualan yang mampu mengolah data dan
mempermudah dalam menyusun laporan. Dengan
sistem
informasi
administrasi
perhotelan
diharapkan dapat membantu proses administrasi di
New Cahaya Hotel.
METODE
Software Engineering Body of Knowledge
(SWEBOK)
Menurut John Willey & Sons (2004)
dalam bukunya menuliskan : “SWEBOK
mendeskripsikan pengetahuan secara umum
tentang rekayasa perangkat lunak yang dibagi
kedalam 10 area pengetahuan (Knowledge Areas)
atau disebut KAs.” Software Engineering Body of

Knowledge (SWEBOK) adalah produk dari komite
koordinasi rekayasa perangkat lunak disponsori
oleh IEEE Computer Society. Berikut adalah
penjelasan tentang ruang lingkup pengetahuan
atau yang disebut juga Knowledge Area (KA)
yang digunakan sebagai panduan dalam
mengembangkan aplikasi oleh penulis.
1.Requirement
Tahapan awal dalam membangun
aplikasi, Software Requirements merupakan
sebuah properti yang harus diperlihatkan dengan
bertujuan untuk menyelesaikan permasalahan yang
ada. Menjabarkan bagaimana mengotomatisasikan
sebuah permasalahan sebuah tugas yang dihadapi
oleh pengguna, membantu menganalisis proses
bisnis perusahaan yang telah menggunakan
aplikasi, menganalisis kekurangan yang ada dan
lainnya (John Willey & Sons, 2004). Berikut
penjabaran tentang beberapa tahapan yang ada
pada software requirement:
a. Requirement Elicitation
Tahapan awal dalam pemenuhan software
requirements yang berkonsentrasi pada
beberapa hal, darimana kebutuhan perangkat
lunak itu sendiri dan bagaimana para
pengembangan perangkat lunak dapat
mengumpulkannya.
b. Requirement Analysis
Tahapan ini membahas tentang kegiatan
menganalisis kebutuhan untuk :
i. Mendeteksi
dan
menyelesaikan
permasalahan yang ada pada tiap-tiap
kebutuhan.
ii. Menggali batasan yang ada pada
perangkat lunak dan bagaimana perangkat
lunak tersebut akan berinteraksi dengan
lingkungan.
iii. Menguraikan kebutuhan sistem yang akan
digunakan sebagai kebutuhan perangkat
lunak
c. Requirements spesification
Secara umum specification biasanya mengacu
pada banyaknya jumlah pekerjaan atau
kemampuan perangkat lunak tersebut dalam
mencapai tujuannya, yang secara sistematis
dapat dilihat kembali, dievaluasi dan di terima.
d. Requirement Verification and Validation
Beberapa dokumen requirements di atas
menjadi bahan dari tahapan validasi dan
verifikasi. Kebutuhan verifikasi dan validasi
berpusat pada pemeriksaan kebutuhan dari
dokumen yang meyakinkan bahwa ini
merupakan sistem yang benar. Kebutuhan
yang ada di validasi untuk menjamin bahwa

pengembang dari perangkat lunak tersebut
dapat memahami kebutuhan yang akan
dicapai.
2.Desain
Menurut, John Willey dalam bukunya,
Menurut definisi dari IEEE, desain adalah proses
yang menggambarkan arsitektur, komponen, antar
muka, dan karakteristik yang lain dari sistem atau
komponen, serta juga sebagai hasil dari proses
tersebut. (John Willey & Sons, 2004).
3.Construction
Software construction mengacu pada detil
pembuatan dari sebuah pekerjaan, perangkat lunak
yang bermakna melalui kombinasi dari
pengkodean. sebagai pembuatan detail dari suatu
pekerjaan, menciptakan satu perangkat lunak yang
penting yang di kombinasikan dengan code, proses
verifikasi, testing unit, dan testing yang
terintegrasi, serta proses debuging.
Sistem Administrasi
Istilah administrasi berasal dari bahasa
latin yaitu ad dan ministrate yang artinya
pemberian jasa atau bantuan, yang dalam bahasa
inggris disebut Administration artinya to serve,
yaitu melayani dengan sebaik-baiknya. Pengertian
administrasi dapat dibedakan menjadi 2 pengertian
yaitu:
a. Administrasi dalam arti sempit. Menurut
Soewarno
Handayaningrat
mengatakan
“Administrasi secara sempit berasal dari kata
administratie(bahasa Belanda) yaitu meliputi
kegiatan catat-mencatat, surat menyurat,
pembukuan ringan, ketik mengetik, agenda dan
sebagainya
yang
bersifat
teknis
ketatausahaan”(1988:2). Dari definisi tersebut
dapat disimpulkan administrasi dalam arti
sempit merupakan kegiatan ketatausahaan yang
meliputi kegiatan catat mencatat, surat
menyurat, pembukuan dan pengarsipan surat
serta hal-hal lainnya yang dimaksudkan untuk
menyediakan informasi serta mempermudah
memperoleh
informasi
kembali
jika
dibutuhkan.
b. Administrasi dalam arti luas. Menurut The
Liang Gie mengatakan “Administrasi secara
luas adalah seragkaian kegiatan yang dilakukan
oleh sekelompok orang dalam suatu kerjasama
untuk mencapai tujuan tertentu”(1980:9).
Administrasi secara luas dapat disimpulkan
pada dasarnya semua mengandung unsur pokok
yang sama yaitu adanya kegiatan tertentu,
adanya manusia yang melakukan kerjasama

serta mencapai tujuan yang telah ditentukan
sebelumnya.
Pendapat lain mengenai administrasi
dikemukakan
oleh
Sondang P. Siagian
mengemukakan “ Administrasi adalah keseluruhan
proses kerjasama antara 2 orang atau lebih yang
didasarkan atas rasionalitas tertentu untuk
mencapai tujuan
yang telah ditentukan
sebelumnya” (1994:3). Berdasarkan uraian dan
definisi tersebut maka dapat diambil kesimpulan
bahwa adminsitrasi adalah seluruh kegiatan yang
dilakukan melalui kerjasama dalam suatu
organisasi berdasarkan rencana yang telah
ditetapkan untuk mencapai tujuan.

KESIMPULAN
Setelah dilakukan analisis, perancangan
dan pembuatan aplikasi, maka tugas akhir yang
berjudul “Rancang Bangun Sistem Informasi
Administrasi Perhotelan pada New Cahaya Hotel”
dapat disimpulkan sebagai berikut: rancang
bangun Sistem Informasi Administrasi Perhotelan
yang dibuat telah sesuai dengan kebutuhan
pengguna pada New Cahaya Hotel.

PERHOTELAN PADA NEW CAHAYA HOTEL SIDOARJO

Abstract
New Cahaya Hotel is a company engaged in the field of tourism as an hotel in Sidoarjo. New Cahaya
Hotel still using manual methods for daily administration, such as reservation, check in, check out, in
house services, and making reports. This recording methods for a company that engaged in services
can be not efficient, for example taking too much time to handling check in registration. It can be risky
too for saving valueable informations. To overcome the problems above, researcher is designing and
implementing an hotel administration information system. The result from this hotel administration
system is hotel administration reporting. So, this system can overcome the company’s administration
problem and give efficient and effective information.

Hotel
merupakan
perusahaan yang bergerak dibidang perhotelan.
Perusahaan yang berbasis pada bidang jasa /
pelayanan ini memiliki jumlah kamar sebanyak 35
kamar. Kecepatan pelayanan merupakan salah satu
target utama untuk memberikan kepuasan kepada
pelanggan hotel. Khususnya pada pelayanan
administrasi pada New Cahaya Hotel.
Pada saat ini, proses administrasi pada
New Cahaya Hotel yaitu tamu melakukan
reservasi baik melalui telepon ataupun melalui
direct reservation. Selanjutnya tamu melakukan
check in sesuai dengan tanggal dan waktu yang
telah ditentukan pada saat reservasi. Tamu yang
telah menginap dapat menggunakan fasilitas yang
telah disediakan. Fasilitas yang diberikan kepada
tamu hotel terdapat 2 macam, yaitu free services
dan paid services. Free services meliputi airport
pick up services, welcome drink, dan breakfast
order. Paid services meliputi restaurant,
drugstore, airport shuttle, dan laundry.
Data paid services yang belum terbayar
akan ditagihkan pada saat check out. Runtututan
prosesnya, data tagihan tamu pada paid services,
akan direkap oleh petugas services, kemudian
diberikan kepada petugas front office untuk
dilakukannya night audit. Dari hasil night audit
tersebut akan didapatkan keseluruhan estimasi
total biaya inap yang akan ditagihkan saat check
out.
Pada saat check out petugas front office
mengecek ulang tagihan, sambil menunggu
petugas house keeping untuk mengecek kamar,
apabila ada tambahan tagihan. Setelah selesai

dilakukannya bill settlement, kemudian proses
check out pun selesai.
Proses akhir adalah proses rooms status
maintenance. Proses ini adalah proses perubahan
status kamar mulai dari check out, vacant dirty,
hingga vacant clean. Proses ini adalah proses make
up rooms kamar yang telah dipakai tamu
sebelumnya.
Masalah yang terjadi saat ini yaitu, New
Cahaya Hotel selama dalam menjalankan
administrasi sehari-harinya masih menggunakan
cara manual, misal pencatatan reservasi dan check
in yang lama, sering terjadinya penumpukan
tagihan yang belum terbayar yang berakibat tidak
terbayarnya tagihan tersebut, dan bill settlement
yang memakan waktu lama dalam proses
administrasi dan pengkalkulasiannya.
Berdasarkan permasalahan di atas maka
diperlukan suatu sistem informasi administrasi
penjualan yang mampu mengolah data dan
mempermudah dalam menyusun laporan. Dengan
sistem
informasi
administrasi
perhotelan
diharapkan dapat membantu proses administrasi di
New Cahaya Hotel.
METODE
Software Engineering Body of Knowledge
(SWEBOK)
Menurut John Willey & Sons (2004)
dalam bukunya menuliskan : “SWEBOK
mendeskripsikan pengetahuan secara umum
tentang rekayasa perangkat lunak yang dibagi
kedalam 10 area pengetahuan (Knowledge Areas)
atau disebut KAs.” Software Engineering Body of

Knowledge (SWEBOK) adalah produk dari komite
koordinasi rekayasa perangkat lunak disponsori
oleh IEEE Computer Society. Berikut adalah
penjelasan tentang ruang lingkup pengetahuan
atau yang disebut juga Knowledge Area (KA)
yang digunakan sebagai panduan dalam
mengembangkan aplikasi oleh penulis.
1.Requirement
Tahapan awal dalam membangun
aplikasi, Software Requirements merupakan
sebuah properti yang harus diperlihatkan dengan
bertujuan untuk menyelesaikan permasalahan yang
ada. Menjabarkan bagaimana mengotomatisasikan
sebuah permasalahan sebuah tugas yang dihadapi
oleh pengguna, membantu menganalisis proses
bisnis perusahaan yang telah menggunakan
aplikasi, menganalisis kekurangan yang ada dan
lainnya (John Willey & Sons, 2004). Berikut
penjabaran tentang beberapa tahapan yang ada
pada software requirement:
a. Requirement Elicitation
Tahapan awal dalam pemenuhan software
requirements yang berkonsentrasi pada
beberapa hal, darimana kebutuhan perangkat
lunak itu sendiri dan bagaimana para
pengembangan perangkat lunak dapat
mengumpulkannya.
b. Requirement Analysis
Tahapan ini membahas tentang kegiatan
menganalisis kebutuhan untuk :
i. Mendeteksi
dan
menyelesaikan
permasalahan yang ada pada tiap-tiap
kebutuhan.
ii. Menggali batasan yang ada pada
perangkat lunak dan bagaimana perangkat
lunak tersebut akan berinteraksi dengan
lingkungan.
iii. Menguraikan kebutuhan sistem yang akan
digunakan sebagai kebutuhan perangkat
lunak
c. Requirements spesification
Secara umum specification biasanya mengacu
pada banyaknya jumlah pekerjaan atau
kemampuan perangkat lunak tersebut dalam
mencapai tujuannya, yang secara sistematis
dapat dilihat kembali, dievaluasi dan di terima.
d. Requirement Verification and Validation
Beberapa dokumen requirements di atas
menjadi bahan dari tahapan validasi dan
verifikasi. Kebutuhan verifikasi dan validasi
berpusat pada pemeriksaan kebutuhan dari
dokumen yang meyakinkan bahwa ini
merupakan sistem yang benar. Kebutuhan
yang ada di validasi untuk menjamin bahwa

pengembang dari perangkat lunak tersebut
dapat memahami kebutuhan yang akan
dicapai.
2.Desain
Menurut, John Willey dalam bukunya,
Menurut definisi dari IEEE, desain adalah proses
yang menggambarkan arsitektur, komponen, antar
muka, dan karakteristik yang lain dari sistem atau
komponen, serta juga sebagai hasil dari proses
tersebut. (John Willey & Sons, 2004).
3.Construction
Software construction mengacu pada detil
pembuatan dari sebuah pekerjaan, perangkat lunak
yang bermakna melalui kombinasi dari
pengkodean. sebagai pembuatan detail dari suatu
pekerjaan, menciptakan satu perangkat lunak yang
penting yang di kombinasikan dengan code, proses
verifikasi, testing unit, dan testing yang
terintegrasi, serta proses debuging.
Sistem Administrasi
Istilah administrasi berasal dari bahasa
latin yaitu ad dan ministrate yang artinya
pemberian jasa atau bantuan, yang dalam bahasa
inggris disebut Administration artinya to serve,
yaitu melayani dengan sebaik-baiknya. Pengertian
administrasi dapat dibedakan menjadi 2 pengertian
yaitu:
a. Administrasi dalam arti sempit. Menurut
Soewarno
Handayaningrat
mengatakan
“Administrasi secara sempit berasal dari kata
administratie(bahasa Belanda) yaitu meliputi
kegiatan catat-mencatat, surat menyurat,
pembukuan ringan, ketik mengetik, agenda dan
sebagainya
yang
bersifat
teknis
ketatausahaan”(1988:2). Dari definisi tersebut
dapat disimpulkan administrasi dalam arti
sempit merupakan kegiatan ketatausahaan yang
meliputi kegiatan catat mencatat, surat
menyurat, pembukuan dan pengarsipan surat
serta hal-hal lainnya yang dimaksudkan untuk
menyediakan informasi serta mempermudah
memperoleh
informasi
kembali
jika
dibutuhkan.
b. Administrasi dalam arti luas. Menurut The
Liang Gie mengatakan “Administrasi secara
luas adalah seragkaian kegiatan yang dilakukan
oleh sekelompok orang dalam suatu kerjasama
untuk mencapai tujuan tertentu”(1980:9).
Administrasi secara luas dapat disimpulkan
pada dasarnya semua mengandung unsur pokok
yang sama yaitu adanya kegiatan tertentu,
adanya manusia yang melakukan kerjasama

serta mencapai tujuan yang telah ditentukan
sebelumnya.
Pendapat lain mengenai administrasi
dikemukakan
oleh
Sondang P. Siagian
mengemukakan “ Administrasi adalah keseluruhan
proses kerjasama antara 2 orang atau lebih yang
didasarkan atas rasionalitas tertentu untuk
mencapai tujuan
yang telah ditentukan
sebelumnya” (1994:3). Berdasarkan uraian dan
definisi tersebut maka dapat diambil kesimpulan
bahwa adminsitrasi adalah seluruh kegiatan yang
dilakukan melalui kerjasama dalam suatu
organisasi berdasarkan rencana yang telah
ditetapkan untuk mencapai tujuan.

Setelah dilakukan analisis, perancangan
dan pembuatan aplikasi, maka tugas akhir yang
berjudul “Rancang Bangun Sistem Informasi
Administrasi Perhotelan pada New Cahaya Hotel”
dapat disimpulkan sebagai berikut: rancang
bangun Sistem Informasi Administrasi Perhotelan
yang dibuat telah sesuai dengan kebutuhan
pengguna pada New Cahaya Hotel.
