What is an invitation letter? An invitation letter is a type of letter written to an organization or an individual for
their participation or presence in an event or an occasion. The occasion can be official formal or personal informal.
Types of invitation letters : Based on the occasions, invitation letters are divided into two:
1. Official invitation letters are the ones which are written for inviting officials
and certain distinguished people. This invitations are related to meetings, interviews, training, conferences, inaugurations, etc.
2. Personal invitation letters are the ones which are written for inviting friends,
peers, relatives, family members, neighbors, etc. To social occasions or events such as: weddings, birthday parties, anniversaries, baby showers or
other activities. Since it is informal, this letter is written in a mixture of informal format and formal format.
Based on the format, invitation letters are divided into two: 1.
Formal invitation letters - The invitation letter must contain the address of the inviter and the
invitee as well. - The invitation letter must have a professional appeal.
- The invitation letter should have the logo of the company at its letter head.
2. Infromal invitation letters
An informal letter may be written to invite someone for a social function. This kind of letter is used in occasions like birthdays, marriage, and various
other types of social functions. There is no particular rule for informal invitation letter, but the invitation letter must use a warm approach.
Invitation cards: Invitation cards are usually given by the inviter instead of sent by post.There are formal invitation cards, and informal invitation cards.
Generic structure of invitation cards : 1.
Name of host 2.
Phrasing of the invitation 3.
The kind of event 4.
The information date, time, location 5.
Special Instruction Party Line : e.g. Dinner and dancing to follow
6. Request to respond
Purpose: The purpose of an invitation letter is to request the attendance of a particular person, group of people, or representative of an organization, at some
particular event. RSVP: In the context of social invitations RSVP is a request for a response from the
invited person. It is an initials derived from the Frencg phrase respondez s’il vous
plait, meaning please respond. If the RSVP is written in an invitation it means the invited guest must tell the host whether or not they plan to attend the party.
Accepting an invitation: - The body of the letter should adress thre important issues.
- There should also be a brief section outlining the confirmation of the details of the event including the date and time.
- The last part of the letter should inform the invites that the person will be attending.
Declining an invitation: - Express appreciation for the invitation.
- Express regret that you must decline. Your regret sounds more sincere if you can give a specific explanation of what prevents your acceptance.
- Wish success for the event.

- Do you want to come along with us? - You are invited to sing, if you want to.
- We’d really like for you to take part in a little show. - Would you like to join us?
- Would you be interested in seeing the movie with us? - Would you care to join our little group?
Accepting an invitation - Okay, sounds good.
- Sure, I’d love to. - Yeah, good idea.
- Great What time? - Sounds like fun.
