F. PUBLIC RELATIONS OFFICER SOLO PARAGON HOTEL RESIDENCES

Setiap perusahaan tentu memiliki kewenangan untuk memiliki atau tidak memiliki seorang Public Relations. Namun, setiap perusahaan pasti melakukan kegiatan ke-PR-an meski tidak memiliki divisi Public Relation tersendiri. Solo Paragon Hotel Residences adalah sebuah hotel bintang empat yang mempunyai seorang Public Relations yang aktif melaksanakan baik tugas-tugasnya, yaitu menjaga hubungan baik baik dengan pihak internal maupun pihak eksternal. Dalam department Public Relation di Solo Paragon Hotel terdiri dari seorang PR dan desain grafis yang membantu dalam mendesain materi promo. Posisi seorang Public Relation sendiri berada dibawah DOSM Director of Sales Marketing tetapi Public Relation juga dibawah pantauan General Manager, ini merupakan sebuah posisi yang sangat menguntungkan sekaligus beresiko, terutama dalam menjaga citra atau reputasi positif yang telah dimiliki Solo Paragon Hotel Residences.

G. JOB DESCRIPTION OF SOLO PARAGON HOTEL’S PUBLIC RELATIONS

OFFICER DUTIES AND RESPONSIBILITIES : Specific Duties a. Coordinate the day to day operation of the public relations sections. b. Provide support to Director of Sales on public relations issue. c. Develop, implement, and evaluate public relations strategies. commit to user 42

d. Create sophisticated public relations material in the local, nation, and

international area. e. Develop and update public relation promotion materials. f. Coordinate media activities. g. Obtain maximum revenue generation from public relations activities, h. Maintain the image of hotel. i. Ensure all public relations activities are authorized with the department. j. Fil media release for future reference k. Welcome and handle VIP guest as per VIP treatment standart Human Resource Management

a. Monitor Guest client services and operational requirements in order to indentify

short falls in service as a result af staff levels. b. Identify key personel for futher development and provide structured career pathing. Safety, Cleaning and Maintenance a. Ensure that all equipment is functioning and serviced regularly. Guest Relations and Client Needs

a. Anticipate client needs through observation and offer prompt afficient

service.ensure staff recognize that disable and special needs guest are adequately provided for. commit to user 43

b. Develop and awarenessof, and appreciation for, the riches of the cultural

divercity of your clients, staffs and location. c. Ensure complaints and request are handle with the aim of exceeding guests expectations.

d. Ensure all staff have high a level of product knowledge so they are able to explain

service and facilities to clients as required. e. Develop and awareness of local service and facilities. f. Identify and opportunities for value added service to increase sales profitablelity and anticipate client needs.

g. Demonstrade effective selling techniques in promoting Solo Paragon product and

service. h. Demonstrade effective verbal and non verbal communications skills. i. Ensure guest comment are recorded in guest history record and acted on when appropriate. Financial Management a. Prepare monthly outlook forcase for related expenses and return to controller Direcrtor of Finance as scheduled.

b. Monitor account activities and make adjustment when necessary.

c. Implement cost saving method for the department in line with corporate policy.

d. Negotiate contract only with appropriate suppliers as per corporate management

policy and procedures. Strategic Planning

a. Participate in the preparation of the strategic Business Plan.

b. Participate in the preparation and planning of the annual operating plan,

departmental objective and other cost related to the annual budget. Quality Management Initiatives

a. Seek opportunities and continually improve client service.

b. Ensure all staff meke commitment to the quality system.

c. Monitor all product ang performance standart and ensure action in taken when

standart are not being met. Administrative Duties

a. Compile daily, weekly and monthly reports as required.

b. Analyze report and make recommendations.

c. Ensure files, correspondence, and other relevans business documentation are

A. PROSES PRODUKSI NEWSLETTER DI SOLO PARAGON HOTEL

1. Newsletter

Satu lagi alat komunikasi yang dibuat oleh Public Relations, yaitu Newsletter. Alat ini dikenal pula dengan sebutan editorial. Asal mulanya, Newsletter merupakan “House Journal” yaitu terbitan berkala yang diperuntukan kalangan sendiri. Sekarang, ada perusahaan yang membuat newsletter secara khusus. Biasanya hal itu dijumpai untuk perusahaan besar yang cukup dana dan area usahanya cukup besar. Sedangkan perusahaan kecil yang dananya tidak begitu besar biasanya cukup membuat satu newsletter. Newsletter di Solo Paragon Hotel bersifat periodik waktu terbitnya setiap 3 bulan sekali. Dan dicetak sebanyak 300 eksemplar. Solo Paragon Hotel tergolong hotel baru dengan bangunan tertinggi saat ini di kota Solo. Untuk itu Public Relations di Solo Pargon Hotel menggunakan Newsletter sebagai alat komunikasi untuk mempromosikan produk hotel informasi promo terbatas dan media pencitraan. Happenings adalah Newsletter di Solo Paragon Hotel. Pada dasarnya, Newsletter merupakan karya jurnalistik yang berisi berbagai informasi yang berkaitan dengan aktivitas perusahaan dan anggota perusahaan. Solo Paragon Hotel menyajikan Neswletter dalam bentuk majalah yang berisi informasi yang berkaitan dengan aktivitas kegiatan dalam management, promo produk hotel, serta memperkenalkan kota Solo dengan mengangkat tempat wisata yang ada di kota Solo. 45
